1. About clinicOS
These Terms of Service govern your access to and use of clinicOS, operated by Practice Pro Solutions. clinicOS is a staff operations platform for Australian medical practices. It is not a practice management system, electronic health record, or patient portal.
2. Eligibility and accounts
The platform is intended for medical practices and authorised staff aged 18 or older. Organisation administrators are responsible for accurate registration, inviting and removing users, assigning roles, and ensuring staff comply with these Terms.
3. Acceptable use
You agree not to use clinicOS unlawfully; store patient medical records except as permitted by Document Intake workflows; bypass access controls; interfere with security; upload malware; use AI outputs as clinical advice; or misrepresent your identity.
4. Organisation data
The organisation retains ownership of data it uploads. We process organisation data to provide the platform as described in our Privacy Policy. The organisation is responsible for staff consents and compliance with Australian privacy and employment law.
5. Document Intake
Document Intake allows staff to upload or email clinical correspondence for triage, AI/OCR extraction, and filing with mandatory human confirmation. AI-extracted fields are assistive only.
6. AI features
AI features operate on staff and operational data unless part of Document Intake correspondence processing. AI outputs may contain errors and do not constitute medical, legal, or compliance advice.
7. Subscription and billing
Access may require a paid subscription. Free, Starter, and Business plans apply per-organisation limits. Paid plans may include a 14-day trial. Subscriptions are billed monthly in USD. Cancellation takes effect at the end of the current billing period. Failed payments may result in a 3–7 day grace period before restrictions.
8. Intellectual property
We own the platform, software, and branding. The organisation grants us a licence to host and process its data solely to provide the platform.
9. Disclaimer and liability
The platform is provided "as is" to the maximum extent permitted by law, subject to non-excludable Australian Consumer Law guarantees. Our total liability is limited to fees paid in the 12 months before a claim, or AUD $100 if no fees were paid.
10. Governing law
These Terms are governed by the laws of New South Wales, Australia.
